Assistant Director for Admissions and Special Events
The Baltimore Leadership School for Young Women (BLSYW) is looking for a dynamic and experienced professional for the role of Assistant Director of Admissions and Special Events (ADASE). The ADASE will report to the Sr. Director of External Affairs and is responsible for coordinating and carrying out all Admissions duties, including attending and planning events, visiting local schools, and introducing BLSYW to prospective families and students. The ideal candidate will have strong people and presentation skills, good phone manners, ability to communicate effectively with all ages, and have excellent follow through. The ADASE will also be responsible for all BLSYW events, including Signature Events (those unique to BLSYW and involving external audiences) as well as several other school-wide events (i.e. graduation, prom, convocation, etc.)
This is a full-time, on-site position that will include nights and weekends. There is some remote work flexibility.
Work Schedule: Monday – Friday, 8am – 4:30pm
Targeted Salary: $65K – 75K
75,000 for 8-10 years of related professional work experience
70,000 for 5-7 years of related professional work experience
65,000 for 2-4 years of related professional work experience
PRIMARY RESPONSIBILITIES
Admissions
Ensure that the school’s admissions process remains in compliance with Baltimore City Public Schools charter admissions guidelines and COMAR regulations
Recruit new middle and high school applicants in alignment with the school’s mission, capacity and budgetary needs
Identify a diverse student recruitment pipeline to ensure that students from all zip codes have access to the BLSYW admissions process
Eliminate the barriers to the BLSYW admissions process to ensure that all prospective families have access to the application
Organize and facilitate annual admissions presentations at local schools and community-based organizations
Facilitate lotteries to admit new students in alignment with district lottery compliance regulations
Manage key enrollment retention efforts and events for current and prospective families
Maintain a virtual-recruitment model to engage new students and families
Maintain ongoing oral and written communication with prospective and current families about school events
Serve as a point-of-contact for stakeholders interested in receiving information about the school and Admissions process
Serve as the liaison for families navigating the district’s Middle and High School Choice
Serve as the direct Supervisor for BLSYW Admissions Intern
Special Events Management -Plan and execute special events at BLSYW, including, but not limited to:
Signature Events (events that only happen at BLSYW and serve an external audience; some of these events occur in collaboration with other departments) including but not limited to Founders Day, Back to School BBQ, Winter Convocation/Showcase, Cool Women Hot Jobs, BLSYW Boss Day, Whole Girl Wellness Fair, College Signing Day, and Graduation
Admission Events: Open Houses/Tours for students, families, and feeder school staff and Accepted Student Event
School Events: Donor Open Houses, BLSYW Ball, State of the Grade, 8th Grade Step Up, May Arts Night, Prom, EmPower Breakfast Program Management/Coordination
Work directly with event consultant project managers to establish meeting schedules, site visits, and other logistical details
Oversee logistics for Breakfast films, including three honoree films and one showcase film
Coordinate and manage student virtual roundtables to choose participants for Breakfast program and filming
Accompany students to honoree filming locations
Coordinate filming dates in conjunction with school calendar and leadership
Manage all aspects of the donor communication post-events including social media posts and follow-up emails
Manage all components of the Annual Donor Open House events (twice per year) including logistics of the event (invitation creation and distribution, menu selection, placing orders, tracking RSVPs, nametags, etc.)
Additional Responsibilities
Manage all administrative duties for the Development Office including, but not limited to, coordinating logistics for meetings, placing office supply orders, working with vendors, creating agendas, and ensuring the Director of Development has the support needed to perform duties
Additional duties as assigned
SKILLS, KNOWLEDGE AND ABILITIES REQUIRED
Commitment to the organization’s mission, vision and values and the belief that all students can and will receive a college preparatory education
Experience working in an urban school environment (preferred not required)
Minimum of two years of related event experience required
Self-Starter with an Entrepreneurial Spirit. Ability to perform work-related responsibilities with minimal supervision and direction
Strong organizational and interpersonal skills. Demonstrated ability to manage and prioritize multiple projects with competing priorities and deadlines
Professional maturity. The ability to manage time sensitive information and maintain confidentiality
Professional demeanor and presentation. Possesses a high degree of integrity through work ethic, personal accountability, professional image, and ethical behavior
Excellent writing, editorial, and verbal communication skills
Strong interpersonal skills. Ability to work collaboratively and effectively as part of a team
Experience working with broadly diverse groups of constituents such as donors, Trustees, teachers, school administration/leadership, students, and alumnae preferred
Strong computer literacy skills with the ability to learn new software, as well as familiarity with Microsoft Office Suite and Canva (or similar software)
Sound judgment and decision-making skills
Demonstrated ability to be diplomatic and manage ambiguity
Ability to work in a dynamic, fast-paced environment
Ability to travel and work occasional evening or weekend hours

EDUCATION REQUIRED
Bachelor's degree required or equivalent work experience. Additional education is a plus.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
This position routinely uses standard office equipment such as computers, laptops and smartphones. The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of the job:
Prolonged periods of time using a computer
Ability to maintain concentration and work performance with frequent disruptions
Ability to lift up to 20 pounds of office supplies or materials
The work environment may become noisy at times and requires the ability to concentrate and maintain productivity
Ability to work in a fast-paced work environment
While performing this job the employee is occasionally required to stand, walk, sit, use hands and fingers, handle or feel objects, tools, or controls; reach with hands and arms; stoop, kneel, crouch, talk or hear
Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus
EMPLOYMENT CONDITIONS
Continued employment is subject to the successful completion of background check and fingerprinting process. This is primarily an in-person position with some flexibility for remote work.
